Which platforms actually connect an AI assistant to your documents, apps and databases, how each one handles permissions, what they cost, and when a prebuilt agent beats building your own.

The platforms that let you build a custom AI assistant on your company's data fall into four groups: builders inside software you already pay for (Microsoft Copilot Studio, Gemini Enterprise, ChatGPT and Claude business plans, Glean), standalone no-code agent builders (Zapier Agents, Relevance AI, Lindy, String, Voiceflow, Botpress), workflow-first builders (n8n and Make), and developer frameworks (OpenAI Agents SDK, Claude Agent SDK, LangGraph, CrewAI, Mastra). If your data lives mostly in Microsoft 365 or Google Workspace, start with that suite's builder; if it lives in a database or a dozen SaaS tools, a workflow builder or a framework will reach it more reliably.

A fifth option is to skip building and switch on the prebuilt AI agents in your CRM, such as Salesforce Agentforce or HubSpot Breeze. What platforms let me build a custom AI assistant that works with my company's data?

Almost every serious AI agent builder can now work with company data. The real differences are where that data has to live, and whether the assistant respects who is allowed to see what.

The quick version: knowledge in SharePoint and Teams points to Copilot Studio, and knowledge in Google Drive and Gmail points to Gemini Enterprise. Knowledge spread across many SaaS tools suits Glean, or ChatGPT and Claude business plans with connectors switched on. If the assistant must take actions in other apps, not just answer questions, use a no-code agent builder like Zapier Agents or Lindy, or a workflow builder like n8n. If it has to query a production database or ship inside your own product, use a developer framework.

How AI agent builders connect to company data

Every platform below uses some mix of four methods. Knowing which one a builder relies on tells you more than any feature list.

Native connectors

A native connector is a prebuilt integration with an app such as SharePoint, Google Drive, Salesforce, Slack or Jira. You authorise it once and the assistant can search or act in that app. The best connectors pass through each user's own permissions, so an employee only gets answers from files they could already open. The weakness is coverage: if your key system has no connector, you are stuck.

RAG over documents

Retrieval-augmented generation, or RAG, splits your documents into chunks, indexes them, and pulls the most relevant chunks into the prompt when someone asks a question. Every "knowledge base" feature works this way. RAG is excellent for policies, manuals and help articles, and poor at numbers and totals, because it retrieves passages rather than calculating anything.

SQL and database access

To answer "how many enterprise renewals are due next quarter", the agent needs to run a query, not read a document. n8n and Make have database nodes, developer frameworks can use any database driver, and Copilot Studio can use Dataverse as a knowledge source. This is the most powerful method and the riskiest, so give the agent a read-only user with access to a limited set of views.

MCP servers

The Model Context Protocol, or MCP, is an open standard created by Anthropic and now supported across most builder platforms. It lets an assistant call tools on a server you control. Instead of waiting for a vendor to build a connector to your internal system, you stand up one MCP server for it and any MCP-compatible assistant can use it. Claude's connectors are built on MCP, n8n can both call and expose MCP servers, and Copilot Studio can add MCP servers as tools. For an internal database or a homegrown app, MCP is now usually the cleanest way in.

No-code business builders

These are the platforms a non-developer can use to build a working assistant in an afternoon. The first four sit inside software suites, which makes them the easiest to roll out and the hardest to move away from.

Microsoft Copilot Studio

Copilot Studio is the default for companies on Microsoft 365. Agents ground answers in SharePoint, OneDrive, Dataverse and websites, act in other systems through Power Platform connectors, and can call MCP servers. Microsoft's documentation says SharePoint knowledge is queried with the signed-in user's Entra ID identity, so answers follow existing file permissions.

Microsoft lists Microsoft 365 Copilot at $30 per user per month (annual), and says licensed users can build and use internal agents at no extra cost. Publishing an agent to your website or other external channels needs a standalone Copilot Studio plan, which Microsoft lists at $200 per month for 25,000 Copilot Credits, with pay-as-you-go billing through Azure as an alternative.

Gemini Enterprise (formerly Google Agentspace)

Google renamed Agentspace to Gemini Enterprise in October 2025. It combines enterprise search, an assistant and Agent Designer, a no-code builder that Google says can draft an agent's workflow from a plain-English description and add human approval steps. Connectors cover Google Workspace and, according to Google, Microsoft 365, Salesforce, ServiceNow and Jira.

Google does not publish edition pricing consistently. Third-party trackers put the Business edition at about $21 per user per month and Enterprise Standard at about $30, and note that Business has a narrower connector set. Developers who outgrow Agent Designer move to the Gemini Enterprise Agent Platform, which replaced Vertex AI in April 2026.

ChatGPT Business and Enterprise

OpenAI's business plans reach company data through apps (connectors were renamed apps in December 2025) and company knowledge, which OpenAI's help center says searches across connected apps, cites sources and respects existing permissions. For custom assistants, OpenAI launched workspace agents in April 2026 as the successor to custom GPTs: shared team agents with apps, files and memory that keep working in the cloud. Existing GPTs still run during the transition. Avoid starting anything new on OpenAI's visual Agent Builder canvas, which is reported to be shutting down on 30 November 2026. Enterprise pricing is quote-based.

Claude Team and Enterprise

Anthropic's business plans connect Claude to company data through connectors, which are MCP servers for tools like Google Drive, Slack and Jira, plus custom connectors pointing at your own MCP server. Projects hold shared instructions and documents, and skills package repeatable workflows that admins can deploy across the organisation. Anthropic lists Team at $20 per standard seat per month (annual) and Enterprise at $20 per seat plus usage at API rates. Enterprise adds SCIM, role-based access, audit logs and custom data retention. There is no drag-and-drop canvas, so Claude suits knowledge work and analysis more than trigger-driven automation.

Glean Agents

Glean started as enterprise search and added an agent builder on top. It indexes your tools in advance and enforces each source's permissions, so agents inherit "who can see what" by design. Glean says Gartner named it a Market Shaper in its 2026 Emerging Market Quadrant for no-code agent builders. Pricing is quote-only and aimed at mid-market and enterprise budgets.

Zapier Agents

Zapier Agents lets you describe a job in plain English and give the agent Zapier's app integrations plus knowledge sources you upload or connect. It is the easiest way to build an agent that acts across many SaaS tools. Zapier lists a free tier with 400 activities a month and Pro with 1,500 activities from about $33 a month (annual). An activity is counted each time the agent uses a tool or checks a knowledge source.

Relevance AI

Relevance AI is built for teams running several agents, with sales development and research agents as the headline use cases. It bills by Actions (each tool run) plus Vendor Credits (model costs). As of October 2026 its pricing page shows only an Enterprise plan with SSO, role-based access and audit logs, so older reviews quoting cheap self-serve tiers may be out of date.

Lindy

Lindy is a no-code builder for assistant-style agents: inbox triage, meeting notes, lead follow-up and support replies. Lindy lists Plus at $29.99, Pro at $99.99 and Max at $199.99 per user per month, each with pooled credits, plus an Enterprise tier with SSO, audit logs and HIPAA support with a BAA.

String by Pipedream

String is Pipedream's prompt-based agent builder: you describe the agent and String writes and deploys it using Pipedream's library of thousands of app integrations. Workday announced it was acquiring Pipedream in November 2025, so String's roadmap now sits inside Workday's agent strategy. We could not find published pricing for String itself.

Voiceflow and Botpress

Voiceflow and Botpress are built for customer-facing chat and voice agents. Both include a knowledge base for RAG over your help content and can call your APIs mid-conversation to look up an order or create a ticket. Voiceflow quotes business pricing on request. Botpress lists a free plan with 100 conversations a month, Plus at $150 a month and Team at $750 a month on annual billing.

Workflow-first builders: n8n and Make

n8n

n8n's AI Agent node can use other nodes as tools: Postgres and MySQL nodes, vector stores for RAG, HTTP requests to any API, and an MCP client for external MCP servers. It can also expose workflows as an MCP server. Because it can be self-hosted, it is the go-to option when data cannot leave your infrastructure. n8n lists cloud plans from 20 euros a month (Starter, annual), a self-hosted Business plan with SSO at 667 euros a month, and a free Community Edition. Make AI Agents

Make has a native AI Agents app, still marked beta on its pricing page, plus Knowledge apps for RAG. You can use Make's AI provider or your own model key. Make lists a free plan with up to 1,000 credits a month and paid plans from $12 a month for 10,000 credits, and warns that some AI features use more credits than a standard action. Developer frameworks

When the assistant runs inside your product, queries production data, or handles volumes where per-seat pricing gets expensive, a code framework wins. All five below are free, open-source libraries; you pay for model tokens and hosting.

The OpenAI Agents SDK (Python and TypeScript) covers agents, tools, handoffs and guardrails, and is where OpenAI is pointing developers as its visual builder retires. The Claude Agent SDK gives you the harness behind Claude Code, with built-in tool use and native MCP support. LangGraph models an agent as a graph of steps with explicit state, which suits long-running workflows that need checkpoints and human approval. CrewAI organises agents as a crew of roles handing work to each other. Mastra is a TypeScript-first framework from the team behind Gatsby, a natural fit for teams on Next.js.

Frameworks give you the most direct data options, such as a read-only database user, your own retrieval pipeline, or your own MCP servers. You also own the hard parts: permissions, evaluation and monitoring.

Prebuilt AI agents vs building your own

Prebuilt AI agents are ready-made agents for one job, such as answering support questions or researching leads, sold by the platform that already holds the data. You switch them on and configure them rather than build them.

Salesforce Agentforce

Agentforce agents work directly on your Salesforce data for sales, service and field service. Salesforce prices consumption in Flex Credits at $500 per 100,000 credits, with a standard action using 20 credits, or about $0.10.

HubSpot Breeze agents

HubSpot's Customer Agent handles support and its Prospecting Agent researches leads. On 14 April 2026 HubSpot moved both to outcome-based pricing: $0.50 per resolved conversation and $1.00 per lead recommended for outreach, paid in HubSpot Credits on Professional and Enterprise plans.

When to buy and when to build

Buy prebuilt when the job is standard, the data already lives in that platform, and you want it running this month. A HubSpot customer who needs a support agent should try Breeze before building anything, and outcome pricing shifts some risk to the vendor.

Build your own when the job crosses several systems, when the logic is specific to how your business works, or when per-action pricing exceeds what the same work costs on your own stack. Building also avoids lock-in. Most strategies we catalogue on this site are built rather than bought, because the edge comes from encoding a process no vendor template covers.

Security and permissions: who sees what

The key question is whether the assistant can show someone information they should not see. There are two models.

In the first, the assistant acts as the user and passes through each person's own permissions, so a junior employee asking about salaries gets nothing unless they could already open the salary file. Copilot Studio over SharePoint, ChatGPT company knowledge, Claude connectors and Glean work this way, according to their vendors. This is the right model for internal assistants.

In the second, the assistant acts as itself through one service account, and everyone who talks to it can see whatever that account can see. Most no-code agent builders, workflow tools and custom frameworks work this way by default. That is fine for a support bot reading public help articles, and dangerous for an internal bot on a finance database. Give the agent its own narrowly scoped account and read-only database views.

Before you sign, also check three things. First, SSO, SCIM and audit logs, which most vendors reserve for top tiers. Second, data residency, which varies by vendor and sometimes by connector; OpenAI's help center notes that residency support differs by app. Third, training and retention: get written confirmation that your data is not used for training and that you control retention.

AI agent builder pricing comparison

AI agent builder pricing falls into five models, and the right one depends on how many people use the agent and how much work it does.

Per seat suits internal assistants for a defined team: Microsoft 365 Copilot ($30 per user per month), Gemini Enterprise (about $21 to $30), Claude Team ($20 per standard seat) and Lindy ($29.99 to $199.99). Per usage unit suits background agents: Copilot Studio credits, Zapier Agents activities, Make credits, n8n executions and Relevance AI Actions. Per conversation or outcome suits customer-facing agents: Botpress, HubSpot Breeze and Agentforce. Custom quotes apply to Glean, Voiceflow for businesses and most enterprise tiers. Developer frameworks are free libraries where you pay only for tokens and hosting, the cheapest at scale and the most expensive in engineering time.

One practical rule: price a single completed task, not the monthly plan. An agent that makes ten tool calls per lead costs very different amounts on per-activity, per-action and per-outcome plans.

How to choose an AI agent builder by scenario

Internal knowledge assistant

Use the builder in your existing suite: Copilot Studio for Microsoft 365, Gemini Enterprise for Google Workspace. If knowledge is spread across many tools, Glean or ChatGPT and Claude business plans with connectors fit better, because they search across sources while respecting each user's permissions.

Database Q&A

What platforms can build a custom AI assistant that connects to our company databases? For a no-code start, n8n with a read-only Postgres or MySQL node and an AI Agent node is the most flexible, and Copilot Studio is simplest if your data is in Dataverse. For production, use LangGraph, the Claude Agent SDK or the OpenAI Agents SDK against curated read-only views or an MCP server in front of the database. Never point an agent at raw production tables with write access.

Customer communication and lead qualification 24/7

If you need an AI agent that handles customer communication and lead qualification around the clock, start with your CRM's prebuilt agents if you are on HubSpot or Salesforce. Otherwise, use Botpress or Voiceflow for website and messaging chat, connected to your CRM directly or through n8n. Workflow orchestration

The deciding factor is how much of the process is fixed. If most steps are fixed and the AI makes one or two decisions, use n8n or Make. If the agent decides the steps itself and must recover from failures, use LangGraph or CrewAI. Zapier Agents is the quickest to set up and gives you the least control over each step.

Content moderation and customer retention

A content moderation agent needs high volume at low cost per item, so a workflow builder or framework calling a small, fast model beats a per-seat tool. A customer retention chatbot needs account history, so build it where customer data already lives: a CRM's prebuilt agent, or Botpress connected to your CRM and billing system.
